Booking Terms and Conditions
This agreement is made between Mr Hughes-Roberts (trading as Minffordd Caravan Park) and the lead guest (named as booking the holiday) on the booking form. All our holiday homes shall be used solely for holiday purposes and the guest agrees to vacate the holiday home on the last day of the confirmed booking. A binding contract is entered into on receipt of a signed booking form and payment of a deposit or the full amount of holiday cost.
The lead guest named as booking the holiday, must be over 21 years old at the time of booking. Only guests named on the booking form are permitted to stay in our holiday homes. By making the booking, you confirm that you are authorised to make the booking and that all other members of the party, agree that the booking will be governed by these terms and conditions. You are responsible for making all payments due to us. All bookings depend on the holiday home being available, receipt of relevant payments and a fully completed booking form.
Upon receipt of a deposit or full payment, written confirmation will be sent to you either by email or by post showing your booking details, the balance payment amount and date it is due to be paid. The contract with us begins upon issue of the written confirmation. Upon receipt of the written confirmation you must check all details are correct and immediately inform us if anything is incorrect. We reserve the right to refuse a booking prior to issuing booking confirmation.
A non-refundable deposit of a third of the total holiday cost is required, within 5 days of booking, if more than 10 weeks before the start of holiday. Full payment is required if less than 10 weeks to the start of holiday or for bookings of 4 nights or less. Payment should be by bank transfer and details are given on booking. This can be done online, via telephone banking or at a bank or post office.
Balance of Payment
The balance is payable 8 weeks prior to your arrival date. No reminders will be sent.
Please advise us as soon as possible if you have to cancel. Cancellations should be made by telephone and followed up by an email/letter. The contract requires the guest to pay for the accommodation in the event of a cancellation unless:
- More than 8 weeks notice is given prior to the start date of the holiday, then only the loss of the deposit will occur. If we are able to rebook the week cancelled, all monies paid by the guest will be refunded minus £50 administration fee.
- Less than 8 weeks notice is given prior to the start date of the holiday then we reserve the right to charge the full amount. If we are able to rebook the week cancelled, all monies paid by the guest will be refunded less the deposit (third of total holiday cost).
We’d only cancel your holiday if the accommodation was unavailable for reasons beyond our control. In such an instance we’d offer you alternative accommodation if available. If this was not possible or was unacceptable to you, we’d refund the rental amount you have paid to us.
Our liability would not extend beyond this refund.
Transferring a booking to a different date or holiday home
Once a holiday home has been booked it is not normally possible to transfer your booking. If you need to transfer to a different holiday home or holiday date, the procedure for cancellations applies. In exceptional circumstances a change of holiday home or holiday dates may be accepted where possible, subject to a minimum administration fee of £50.
Breakages and care of the holiday homes
All guests are expected to take reasonable care of our holiday homes and leave them in the same condition as found on arrival. All our holiday homes are cleaned and checked between each letting. Upon arrival, if any issues are encountered, they should be notified immediately to prevent dispute.
Guests are responsible for any breakages, damage or extra cleaning, as well as the costs associated with these, which are caused by any of the guests staying in the holiday home. Mr Hughes-Roberts reserves the right to ask for monies to cover the cost of repair or replacement.
Please let us know about any breakages or damage so that we can arrange to replace/repair the item(s) in time for the arrival of the next guests - we don’t charge for minor breakages if reported to us before departure.
If problems arise during your holiday, please notify Mr Hughes-Roberts immediately, so these can be resolved effectively and efficiently. No complaints will be accepted once the holiday has finished.
Bed Linen and Towels
Bed linen and towels are not supplied in our holiday homes, although they can be hired, by letting us know in advance on the booking form.
A double set including towels is £25 and a single set is £15. If you do not wish to hire them you will need to bring your own bed linen : duvet cover, fitted or flat under sheet, pillow cases and towels for each person.
Well behaved dogs are welcome in some of our holiday homes by prior arrangement only. Holiday homes numbered 2, 9 and 11 accept dogs. Dogs are charged at a cost of £20 per dog per week or part week with a maximum of 2 dogs per holiday home. We ask you to bring bedding and towels for your dog with you. Dogs should NEVER be left alone in the holiday homes unless left in a crate and are used to that and are unlikely to bark and disturb other guests. Dogs should not be allowed in the bedrooms or on any furniture or beds. All dog mess must be cleared up immediately. Dogs should be kept on a lead whilst at Minffordd and exercised in the dog walking field or off site.
Smoking is not allowed in any holiday homes. If smoking outside, guests are requested not to smoke in doorways or near open windows and not leave any trace of smoking in internal bins, around the holiday home or garden.
Arrival and Departure
Arrival time is anytime after 4pm on your arrival date. It would be much appreciated if you could avoid arriving at Minffordd before 4pm, as we need this time to clean, change over and carry out any small maintenance jobs.
Departure time is any time before 10am on your day of departure.
We do ask that you contact us a few days in advance to give us your approximate arrival time.
For short breaks and out of season, we can be more flexible, but it must be agreed in advance, to avoid conflict with planned maintenance.
Mr & Mrs Hughes-Roberts or their representatives retain the right to enter the holiday homes at any time.
We reserve the right to amend prices quoted due to errors or omissions.
We cannot accept any liability for any injury, accident, damage, loss, expense or inconvenience, whether to person or property including cars, which you or any of the people on the booking form or any other persons may suffer or incur that arise out of the holiday homes booked with us, or is in any way connected with it.
Breach of Contract
If there shall be a breach of any of these conditions by you or any member of the party, we reserve the right to refuse to hand over the holiday home to you or enter the holiday home and repossess it terminating your booking immediately. If we do this, we will treat this as a cancelled booking, and you will not receive a refund of any money you have paid for breach of contract.
